OtterSoccer (“OtterSoccer,” “we,” “us,” or “our”) is a youth soccer league management platform operated by OtterSports LLC. This Privacy Policy explains what information we collect, how we use and share it, and the choices you have. It applies to our website at ottersoccer.app, our mobile apps, and related services (together, the “Service”).
OtterSoccer is designed to be used by adults — parents and guardians, coaches, referees, and league or school administrators. It is not directed to children, and children do not create accounts (see Children’s Privacy).
Information We Collect
Information you provide
- Account information. When you sign up, we collect your name, email address, and (optionally) phone number. Authentication is handled by our infrastructure provider (Supabase).
- Player and registration information. Guardians and league administrators enter information about players in order to register them, including the player’s name, date of birth, grade, and the team, division, and season they are registered for. Players are not users of the Service; this information is provided by the responsible adult.
- Payment information. Registration and subscription payments are processed by Stripe. We do not collect or store full card numbers; Stripe handles card data directly. We retain limited records such as amount, status, and a payment reference.
- Communications and activity. Messages you send through team or league messaging, RSVPs, availability responses, and other content you submit through the Service.
- Profile details. Optional details such as a profile photo or league/team logos you upload.
Information collected automatically
- Device and log data. IP address, browser or device type, operating system, and timestamps, used for security, debugging, and analytics.
- Cookies and similar technologies. We use strictly necessary cookies to keep you signed in and maintain your session. We do not use third-party advertising cookies.
- Push notification tokens. If you enable notifications, we store a device token (via Firebase Cloud Messaging) so we can deliver game reminders and updates.
How We Use Information
- Provide, operate, and maintain the Service, including registrations, rosters, schedules, and standings.
- Process payments and issue receipts, refunds, or credits.
- Send transactional communications — registration confirmations, game reminders and changes, results, and account notices — by email and push notification.
- Provide customer support and respond to your requests.
- Protect the security and integrity of the Service and investigate misuse.
- Comply with legal obligations.
We do not sell your personal information, and we do not use it for third-party advertising.
How We Share Information
We share information only as described here:
- Within your league or organization. League and team staff (administrators, registrars, coordinators, coaches) can see registration and roster information relevant to their role. Guardians see information about their own players.
- Service providers. We use trusted vendors who process data on our behalf under contract:
- Supabase — database, authentication, and file storage
- Vercel — application hosting and content delivery
- Stripe — payment processing
- Resend — transactional email delivery
- Google Firebase — push notification delivery
- Legal and safety. When required by law, or to protect the rights, property, or safety of OtterSoccer, our users, or the public.
- Business transfers. In connection with a merger, acquisition, or sale of assets, subject to this Policy.
Children’s Privacy
OtterSoccer is intended for adults. We do not knowingly permit children under 13 to create accounts. Information about a youth player is entered by that player’s parent or guardian, or by an authorized league administrator, for the purpose of operating the league. If you are a parent or guardian and believe a child has provided us information directly, or you would like a player’s information reviewed or removed, contact us at support@ottersoccer.app and we will act on your request.
Data Retention
We retain personal information for as long as your account is active or as needed to provide the Service, comply with our legal obligations, resolve disputes, and enforce our agreements. You may request deletion of your account and associated personal data as described below.
Security
We use industry-standard safeguards — including encryption in transit (HTTPS), access controls, and database-level row security — to protect your information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
Your Rights and Choices
- Access and update. You can view and edit your profile information in your account settings.
- Deletion. You may request deletion of your account and personal data by contacting support@ottersoccer.app.
- Notifications. You can disable push notifications in your device settings and manage email preferences.
- Regional rights. Depending on where you live (for example, California or the EEA/UK), you may have additional rights to access, correct, port, or delete your information, or to object to certain processing. Contact us to exercise these rights.
International Users
OtterSoccer is operated from the United States and our service providers may process data in the United States. By using the Service, you understand your information may be transferred to and processed in the United States.
Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date above and, where appropriate, provide additional notice. Your continued use of the Service after changes take effect constitutes acceptance of the updated Policy.
